EA to Executive General Manager, Strategy Performance

The Strategy & Performance team is responsible for driving a clear articulation of the Technology strategy, delivering transparency to the business and key stakeholders to promote accountability, and are recognised as a business partner able to identify, and deliver on solutions.
The team are experts in performance, strategy, execution, simplification & reporting insights and aim to enable the broader division to focus on the technology & business priorities by removing duplication and providing performance insights to enable optimal performance for the Technology function.

This rewarding role offers the opportunity to provide 1:1 executive support to the Executive General Manager (EGM) within the Strategy Performance team.
Based in our CommBank Everleigh office, this is a 12 month parental leave contract role. We offer hybrid working with 50% in-office connection.
You will ensure their time is managed effectively by working in partnership with the EGM including taking ownership of tasks, prioritising fast changing and demanding calendar commitments and actioning and following up on requests on behalf of your executive as required.
To be effective in this role you will need to exercise initiative, good judgement, resilience, be able to work autonomously and be proactive in your role to ensure their day and business runs smoothly.
Your responsibilities will include but are not limited to:
- Provide proactive, effective and efficient administrative support to the EGM
- Diary management: proactive, efficient time & diary management and maintenance of e-files
- Inbox management. Monitor inbox, prioritise emails, and assist in the preparation of responses.
- Document management. Collation of pre reading materials (presentations, meeting papers etc.), assist in the review of papers to ensure any items manager is accountable for are prioritised and actioned in a timely manner.
- Meeting management: arrange meetings, produce and distribute agenda, action items and associated papers as required and to the timeframes required. Attend meetings, taking minutes and action items as required.
- Coordinating internal/external meetings with clients/stakeholders – including liaising with other EAs and arranging meeting room bookings.
- Attendance and participation at selected leadership meetings and events.
- Co-ordinate/arrange travel, meetings, itinerary, etc
- Arranging events/functions/offsites/team building events (including catering where required).
- Risk management – assisting with HR requests, staff exits, onboarding of service providers and management, and adhering to the Group’s policies and procedures.
- Establish and maintain strong, effective, strategic and appropriate working relationships within business partners, EAs and other stakeholders.
- HR Support: assisting with submitting recruitment requests and onboarding.
- Provide ad hoc administrative support to the wider team
We're interested in hearing from people who have:
- Previous experience as an Executive Assistant supporting a similar level executive leader
- A high level of confidence and ability work autonomously, independently and be proactive
- Ability to deal with ambiguity and thrive in a fast pace and fast changing work environment
- A high level of discretion and confidentiality required for this role, with handling of sensitive materials and data.
- Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service.
- Superior skills in Microsoft Office suite. An ability to build relationships easily across the business, are highly personable with excellent communication skills.
- The ability to manage workflow, priorities, work well under pressure and be flexible
- High level of pragmatic professionalism – face to face, over the phone and through correspondence
