As the Executive Assistant to the On Premise Sales Director, and member of the On Premise Senior Leadership Team (ONP SLT), your respective and collaborative responsibilities will be to lead, motivate, inspire, encourage and maintain a strong, healthy culture internally, as well as drive our brand presence in the On Premise world. You will support and manage the priorities of the On Premise Sales Director, as well as provide support and collaborate with the On Premise Senior Leadership Team and provide support to the National On Premise Team of approximately 60 employees.
Job Description
SUPPORTING THE ON PREMISE SALES DIRECTOR
- Preparation and editing of confidential correspondence, reports, documents and meeting minutes.
- Assistance in the preparation and consolidation of Power Point presentations for key business milestones.
- Process monthly expense claims, manage and facilitate both individual travel and that of the SLT.
- Ownership and coordination of calendar, meetings, and scheduling time allocation.
- Coordination of movements, meetings, and all ad hoc requests.
- Managing and tracking of all actions and deliverables.
- Ownership and management of all MS teams On Premise channels (both RBAU On Premise and RBAU On Premise SLT).
- Support in planning and implementation of current and future business plans.
SUPPORTING AND CONTRIBUTING TO THE ON PREMISE SENIOR LEADERSHIP TEAM
- Management of key meeting schedules and synchronisation.
- Ensuring that high priority business needs are properly covered, documented, and distributed.
- Drive key deadlines.
- Manage and maintain the On Premise Management Team Calendar ensuring the team are informed and aligned on all key movements and milestones.
- Drive efficiencies through planning and preparation for key calendar milestones including ownership of all associated administrative processes and key deadline.
MANAGING REPORTING AND PROCESSES
- Update monthly reporting procedures and templates that allow for consistent and accurate collection of relevant data.
- Continuously improve the quality of the reporting through feedback to each contributor.
- Collaborate with ONP SLT to streamline all internal and external reports and ensure deadlines are met.
- Implement efficient processes for distribution and filing of all reporting to achieve improved productivity and impact.
- Manage all filing processes that store data in a coherent and safe manner (includes consideration of confidentiality aspects).
CONFERENCING, EVENTS, AND TRAINING
- Streamline all On Premise reporting to improve efficiency and impact:
- Work with the Sales Director and SLT to ensure the vision for annual meetings and events is delivered in a timely, efficient, and inspirational manner.
- Ensure all logistics for events are considered and executed seamlessly including flights, accommodation, conferencing facilities, catering and dietary requirements, distribution of agendas, and internal communication.
- Work (when required) with the EA to the Managing Director to coordinate full company events, ALT events and offsite meetings and trainings.
- Coordinate hospitality offerings for key brand events including communication with external stakeholders, agencies, customers, and guests.
ADDITIONAL TASKS
- Liaise with all business functions and build collaborative working relationships with other EA’s and team/project coordinators.
- Manage some office duties that involve other functions or key company events.
- Support the National On Premise Team in relation to management of customer services, stationery and business card ordering, invoice processing, and incoming and outgoing mail.
Qualifications
- Experience as a Personal Assistant or Executive Assistant, 2+ years highly regarded.
- The proven ability to expertly manage time and multiple competing priorities.
- Ability to work autonomously with minimal supervision, and proactively take the initiative.
- Experience with Budget Management, Event Planning, Managing, and Coordinating.
- Strong skills in Microsoft Office Programs including, but not limited to, Outlook, Word, PowerPoint, and Microsoft Teams.
- An eye for detail, especially with regards to presentations and reports.
