Job Title: Meetings + Events Coordinator
Location: Atlanta, GA (30% travel)
Reports to: Executive Director, Brand Experience – Executive Briefings + Global Events
Position Overview
The Meetings + Events Coordinator will support the Brand Experience Team in producing impactful events and tradeshows both domestically and internationally. This role involves creating experiences for customers, prospects, partners, and VIP guests across the world as well as at our campuses in Atlanta, Belgrade, and Dundee. The team manages activations from planning through measurement.
Key Areas of Responsibility:
Support Global Event Planners:
- Research and secure event locations, plan layouts, and coordinate with show organizers/vendors.
- Manage registration processes, hotel accommodations, and room blocks.
- Collaborate with in-house creative team and vendors to develop event collateral.
- Perform event staff activities and prepare training materials.
- Order show services and source promotional giveaways.
- Track event spending vs. budget and build/manage registration websites.
- Prepare reports for key stakeholders and monitor the global events inbox.
Support Executive Briefing Centers:
- Organize and support meetings/functions across Atlanta, Belgrade, and Dundee.
- Lead campus tours and coordinate logistics (security, food, signage, facilities).
- Manage on-site meeting coordination (room setup, A/V, catering).
- Assist with post-event analysis and prepare regular reports.
Basic Requirements:
Experience:
- 3-5 years in event/meeting management, hospitality, client management, brand management, or related experiential marketing environment.
- Executive-facing and travel experience required. Agency experience preferred.
Education:
- Undergraduate degree in Marketing, Communications, Hospitality Management, Public Relations, Journalism, Business, Tourism, Project Management, or related field, or equivalent experience.
Skills:
- Strong organizational, time management, and improvisational skills.
- Ability to work independently and as part of a team.
- Proficiency in CRM and meeting management/project management software.
- Excellent written and verbal communication skills.
- Professional judgment and discretion.
- Creative and innovative thinking.
- Proficiency in MS Suite (Word, Excel, PowerPoint, Teams, SharePoint). Salesforce.com and Qualtrics experience preferred.
