As a Business Assistant in the Investment Bank, you will support senior stakeholders in a demanding and fast-paced environment. You will be an integral part of the team, understanding group priorities and business expectations. Your role will involve advanced diary management, client handling, and collaboration with various business stakeholders. We are looking for someone who can demonstrate an advanced assistant skillset and maintain a high degree of confidentiality and professionalism.
Job Responsibilities

  • Manage advanced, proactive diary scheduling, including internal/external meetings, conference calls, and orchestration of off-sites/town halls/skip-levels.
  • Partner with relevant groups to execute travel and entertainment bookings, ensuring compliance with CIB/Firmwide T&E policies.
  • Handle internal and external client interactions, coordinating department scheduling and transactional activities.
  • Utilize internal systems for accurate data entry, reporting, and information collation.
  • Oversee distribution lists, technology usage, and other administrative tasks.
  • Collaborate with business management and key stakeholders across lines of business.
  • Provide coverage and partnership with assistants across lines of business as needed.
  • Engage in PowerPoint presentations, projects, and training opportunities.


Required Qualifications, Capabilities, and Skills

  • Professional client handling with the ability to build and maintain business relationships.
  • Full competency in diary management, with good judgment and understanding of competing priorities.
  • Strong executive communication skills, both written and verbal.
  • Experience in arranging travel and producing accurate itineraries, with a focus on optimizing time and costs.
  • Demonstrated proactivity and ownership in the role.
  • High-level technical capabilities and awareness of expense systems and cost control initiatives.
  • Polished, professional approach with the ability to work under pressure and partner effectively across hierarchies.
  • Positive, common-sense approach to driving efficient time management for seniors.
  • Flexibility and receptiveness to change.
  • High attention to detail and delivery of high-quality results.
  • Understanding of the Investment Bank culture and ability to navigate the political landscape.
  • Strong team player with a solution-oriented mindset.
  • Potential to act as a role model to peers.
  • Current knowledge of all CIB/Firmwide Policies and ability to ensure adherence.
