Job Summary:

Performs administrative and office support activities for the Facility Department.

                                                                                                    

Job Responsibilities:

  • Answers and directs phone calls, organizes and schedules meetings and appointments.
  • Assists or maintains various reports as requested.
  • Produces and distributes mail, faxes, forms and emails.
  • Prepares and modifies documents, files / retrieves materials, and handles requests for information.
  • Maintains office by ordering supplies, managing filing, and providing support to visitors.
  • Maintains calendars and completes expense reports as requested.
  • May attend department meetings and training sessions.
  • Provides general office support to department managers and others as needed.
  • Other duties as assigned or requested.

Job Qualifications:

Education

  • Associate degree preferred or equivalent combination of education, training, 
    experience, or military experience

Work Experience

  • A minimum of two (2) years of experience supporting management roles, preferably in an out-of-home media, sales, or operations environment.
  • Experience and interest in internal and external communications and project management

Skills

  • Strong organizational / time management skills and be detail oriented.
  • Able to compose emails and other written documentation clearly and concisely.
  • Able to read, analyze and interpret verbal and written requests and directions.
  • Able to deal with problems quickly, multi-task, and prioritize work.
  • Competent in Microsoft software applications (i.e., Word, Excel and Outlook).
  • Knowledge of basic office management practices and equipment.

Physical Demands

The demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job:

  • Employee must have the ability to sit and/or stand at a desk for a minimum of 8 hours a day and complete tasks requiring repetitive use of hands
  • Employee must have the ability to see written documents, computer screens and to adjust focus
  • This job is performed in a temperature-controlled office environment
